Terms & Conditions

Eligibility

Programs are open to any secondary school student aged 15 to 19, registered in a public, private or separate school.

Terms of Payment

To reserve a place in the Summer 2010 program, a non-refundable deposit of $1000 and insurance fee (if purchasing) by cheque or credit card must accompany your application. Cheques should be
made payable to Georgia Hardy Tours Inc. All other payments are to be made by cheque. A second payment of 50% of the balance is due on March 28, 2010. The balance of the program fee and applicable taxes are due on May 4, 2010. We cannot guarantee your place in the program if the balance is unpaid by that date. Applicants who apply after April 27, 2010 must pay in full for the program.

Travel Arrangements

Return airfare is included in the cost of the program, students wishing to travel on other than the group dates must contact Georgia Hardy Tours Inc. in writing. No changes will be accepted after May 1, 2010. We reserve blocks of round-trip seats on specific flights from Toronto. Transfers to and from the airport are included for the group flights only. Alternative arrangements will be priced individually. Students who do not fly with the group and make their own travel arrangements will receive a deduction from the program fee. Students who make their own flight arrangements will be responsible for their own transfer to and from the airport.

Cancellation

All requests for cancellation must be submitted in writing to Georgia Hardy Tours Inc. (GHT) The deposit and insurance premium are non-refundable. The charge for cancellation after March 28, 2010 is 50% of total program price. No refunds are granted after May 4, 2010. Registrants cancelling for medical reasons are protected providing they have purchased trip cancellation insurance (See Travel Insurance). GHT reserves the right to cancel a course due to insufficient participation by March 31, 2010. Students who have enrolled in a course with insufficient participation will be offered a 100% refund or the opportunity to switch to another program.

Travel Insurance

Group insurance coverage for trip cancellation, accident, baggage and excess medical costs is NOT included in the program price. Georgia Hardy Tours Inc. offers to Canadian residents an All Inclusive Travel Insurance package. Non-Canadian residents must purchase their own medical coverage as we can only offer Trip Cancellation/Trip Interruption Insurance to them. The premium payment is due at the time of registration. Personal liability insurance is the responsibility of the individual. All insurance coverage contains exclusions. It is the responsibility of the insured and their guardian to ensure that they read the insurance policy and understand what these exclusions comprise. Coverage for expenses or benefits arising from or related to a pre-existing medical condition may be limited.

Air Transportation

Airlines and other transportation companies whose services are featured in these programs are not to be held responsible for any act, omission or event during the time passengers are not on board their conveyance. The passage contract in use by these companies issued shall constitute the sole contract between the companies and the purchaser of this program. Please note the possibility of any fuel surcharges prior to departure. Any increase must be borne by the individual participant.

Travel Documentation

It is the responsibility of each participant to ensure that no additional travel documents are required. GHT is not responsible for inadequate travel documents.

Liability/Errors and Omissions


GHT acts only as agent for all of the services included in the program and as such will exercise reasonable care in making the arrangements for, and the conduct of, the program. All or part of the deposits and final payments paid by program participants to GHT will be sent to the various suppliers of services included in the tour. GHT and the Toronto Catholic District School Board do not assume any responsibility or liability for any claims, damages, expenses or other financial loss whether to person or property arising out of injury, accident, death, cancellation, delay, alteration or inconvenience resulting from any act of omission, commission, or inadvertence of any hotel, carrier, restaurant, or other company or person rendering any of the services included in the program or caused by weather, sickness, strikes, quarantines or the wilful or negligent acts or any other cause whatsoever beyond the control of GHT. All tickets, coupons and orders are furnished and issued subject in all respects to the terms and conditions imposed thereon. The credit sponsoring schools and school boards have not assumed and shall have no responsibility, obligation or liability for the financing, arranging or the conduct of the program or for any damages or claims of any kind with respect to loss, injury, death, financial loss or damages to persons or property that might occur in connection with the program, however arising, whether by negligence or otherwise.

Changes to Itinerary

All rates are based on current tariffs and exchange, and are subject to adjustment in the event of changes therein, at the time of final payment. Schedules, departure dates, times and itineraries quoted by Georgia Hardy Tours are subject to change without notice.

Participants Behaviour

Parents and students are required to sign the application form. A code of conduct will be sent to students to read, sign and return to GHT prior to departure. GHT as organizer of the group has the right to decline, or to send home any participant or tour member at any time at the expense of the parent or guardian, and in such case, there will be no refund. Students are expected to adhere to the laws of the country, curfew rules, attend classes daily, and treat all members of the staff and fellow students with respect. Students are responsible for any damage they cause. Students must undertake to reimburse GHT for expenses due to damage. Use of illegal drugs, excessive alcohol consumption, or use of motorized vehicles is not permitted. Overnight stays not related to the program are not allowed.

Disclosure

Parents and students are required to provide accurate and current information about any academic, behavioural, physical, psychological, social or emotional concerns before enrolling in GHT summer programs. If important health related information has not been disclosed to GHT at the date of application, GHT reserves the right to withdraw the student from the summer program. All money paid to GHT will be non-refundable.
